Abstract Submissions
ABSTRACT SUBMISSION GUIDELINES
Who can submit an abstract?
- Graduate students, post-doctoral fellows, residents, medical students, undergraduate students, clinicians, and scientists
- All colleagues working in cancer research from across London Health Sciences Centre, Verspeeten Family Cancer Centre, London Health Sciences Centre Research Institute, Robarts Research Institute, Lawson Health Research Institute at St. Joseph's Health Care London, Western University, Windsor Regional Cancer Program, and the Schulich School of Medicine & Dentistry (both London and Windsor campuses)
- Applicants/Supervisors must be affiliated with Department of Oncology (Home or Cross Appointed), or Centre for Translational Cancer Research, or Cancer Research Laboratory Program, or London Health Science Centre Research Institute/Lawson Health Research Institute at St. Joseph's Health Care London. Note: cross appointees to the Department of Oncology from institutions outside London are eligible to apply
- There are poster and oral presentations available
- Only one (1) submission per person is permitted
- You must REGISTER for the event and ATTEND IN PERSON if you submit an abstract
What should I submit?
- The research should appeal to the interdisciplinary audience comprised of clinicians, researchers, leaders, trainees, and decision makers working in cancer research and cancer care
- Topics related to novel cancer research, including but not limited to: prevention, treatment, education, and awareness, new cancer drug discoveries, screening technology, survival, patient outcomes, quality of life, translational research (encouraged), and much more
What are the abstract guidelines?
- Please see the example template provided below and format your abtracts as follows:
- Title: bolded title in sentence form
- Author list: list all authors
- Affiliations: list of affiliations for all authors
- Blank line for separation
- Abstract: begin abstract text (no more than 500 words) with a blank line between each section
- The abstract text (in Calibri) should be formatted as a structured abstract with the following sections:
- Introduction
- Methods
- Results
- Conclusions
- *Note for clinical case abstracts, Introduction-Case-Discussion can be used*
- The above guidelines are meant to be inclusive, permitting submission of de novo or re-purposed abstracts (ie. submitted elsewhere) without restrictive formatting requirements
- One figure/chart is allowed
- Abstracts must be submitted as a single page in WORD format (or two if adding a figure/chart)
How do I submit my abstract?
- Email your abstract to Kimberly.Scott@lhsc.on.ca no later than Friday April 25, 2025 at 12pm (noon) EST.
- In your email:
- Use email subject line: Abstract Submission for Oncology R&E Day
- Please indicate the appropriate category for your abstract:
- Fundamental Cancer Research
- Cancer Imaging and Medical Physics
- Clinical Oncology (including Medical Oncology, Radiation Oncology, Surgical Oncology, Hematology, Gynecological Oncology).
- Indicate if you wish to present an oral presentation (if you are not selected for an oral presentation, your abstract will still be considered for a poster presentation).
- Attach your abstract as a one-page WORD file (two pages if including a figure/chart)
- Please indicate if you are NOT willing to have your abstract added to the conference booklet
How are abstracts evaluated?
- All abstracts will be reviewed and judged by an assigned scientific organizing committee
- The content of the abstract should provide new insight or knowledge into cancer research
- The abstract is clear, well organized, and significant
- The research is integrated, innovative, and impactful
- Notifications will be sent to all applicants via email
Please note that all abstracts that are not formatted according to guidelines will be returned for revision or not considered.

NOTE: abstracts/posters not submitted during the formal process cannot be substituted on the day of the event. Posters will be deemed inadmissible and removed from the competition.
