School Events Promotion and Marketing
PURPOSE
With the number of events taking place across the School, the following documents outlines the categories/types of event being hosted annually, monthly and weekly and the support that can be provided by the Communications and Marketing team.
CATEGORY 1: SIGNATURE EVENTS
Events hosted by the School (namely the Dean’s Office) that:
- Profile the School on a national stage or
- Engage a variety of audiences including faculty, staff, students, alumni and the community or
- Include a ticketing element and/or money collection or
- Are larger events – engaging more people, using more operational funds to put on, etc. or
- Meet the strategic plan:
- Foster the growth and success of faculty and staff (School-wide awards ceremonies)
- Strengthen and develop relationships with community organizations (opportunities for sponsors)
Support Provided
- Development of the event plan, communications and marketing plan
- Management of RSVPs, guest list, ticketing revenue
- Development of all communications and marketing pieces (could include a unique artwork piece for the event) and execution of the communications and marketing plan
- Electronic invitation(s) sent out from the School
- Printed posters designed and distributed around the School
- A promotional slide/picture posted up on the televisions around the School
- Web banners created and distributed to School program and departmental websites
- Content created and distributed in School and departmental newsletters
- Editorial coverage
- Photography at the event
- Social media coverage of the event
- Volunteer management for event day
- Media relations management for event day (if needed)
- Event listed on the events calendar
- Event featured in This Week@Schulich
CATEGORY 2: CEREMONIAL/SPECIAL EVENTS
Events hosted by the School or by departments/programs/divisions of the School that:
- Are a donor named lecture or
- An externally named lecture or
- Celebrate a milestone or anniversary for a department/program/division including annual ceremonies or
- Engage a variety of audiences including faculty, staff, students but also alumni and potentially the community or
- Are a one-off event the School is hosting in partnership with an external organization
Support Provided
- Assistance in creating promotional/marketing material that includes:
- An electronic invitation sent out from the School
- A promotional slide/picture posted up on the televisions around the School
- Web banners created and distributed to School program and departmental websites
- Content created and distributed in School and departmental newsletters
- Assistance in event management
- Meeting with Special Events Officer to walk through event ideas, details and plans
- Volunteer provided to assist on event day
- Event listed on the events calendar
- Event featured in This Week@Schulich
- Poster hung up around the School (poster created by department/program/division using the poster templates)
- Photograph and social media coverage will be determined on an event by event basis
CATEGORY 3: DEPARTMENTAL/DIVISIONAL EVENTS AND GRAND ROUNDS
Events hosted by departments/programs/divisions of the School that:
- Engage an internal audience or
- Include all departmental/divisional events as well as grand rounds or
- Are currently being managed by the department/division
Support Provided
- Event listed on the events calendar
- Event featured in This Week@Schulich
- Poster hung up around the School (poster created by department/program/division using the poster templates)
